• Identifiers: Name, email address, and account login information.
• Meeting Data: Participant names, meeting descriptions, and audio recordings and transcripts. Meeting audio is captured by the Parafoil application on the meeting host's device, then transferred to our cloud infrastructure for storage, transcription, and analysis as described in Section 3. Parafoil does not use Zoom Cloud Recording, Google Meet recording, or any meeting platform's built-in recording.
• Feedback: Reviews or communications sent to us via email or other channels.

B. Information Collected Automatically

We automatically collect:

• Activity and Device Data: IP address, browser type, operating system, app version, and usage data (e.g., pages viewed, access times).
• Cookies: Cookies are used only for signed-in users to improve product functionality. No advertising cookies or cookies for users without accounts are employed.
• Approximate Location: Derived from IP addresses to tailor the service.

C. Inferred Data

We may derive the following insights to enhance the Service:

• Demographics: Using language and other data to improve the quality of our analysis.
• Meeting Characteristics: E.g., identifying the type or purpose of meetings.
• Company Affiliation: Inferred using email domains and participant names.

Parafoil uses personal information to operate, maintain, and improve its services, with a focus on transparency and user control. Specifically, we may use your data for the following purposes:

We strive to use your data responsibly and only for the purposes outlined here. Meeting information, such as audio and transcripts, is never shared for advertising purposes.

3. How We Share Your Information

We may share your personal information in the following ways:

Categories of Information Shared

• Identifiers (e.g., name, email address): Shared with service providers, legal authorities, and professional advisors to provide and improve the Service, comply with legal obligations, and manage business processes.
• Meeting Data (audio recordings, descriptions): Shared with service providers for transcription and analysis. None of them may use it to train their own models. Aggregated insights may be shared publicly, but only in ways that protect individual and organizational privacy.
• Activity and Device Data: Shared with service providers to optimize performance, troubleshoot issues, and enhance functionality.
• Aggregated Data: Shared publicly or with research partners in a way that does not identify individual users, solely for improving the Service.

Sub-processors

We rely on the following sub-processors to operate the Service. Each processes data only as needed to perform its function, under contractual confidentiality and security obligations:

• Amazon Web Services (AWS) — secure cloud storage and hosting of meeting audio and related data.
• Deepgram — transcription of meeting audio into text.
• Supabase — application database hosting, including storage of transcripts.
• OpenRouter — routing of transcripts to large language model providers that generate notes and analysis.

4. Organizational and Individual Data Privacy

At Parafoil, we are committed to maintaining strict boundaries between individual users, their data, and organizational access. Commercial privacy is a top priority.

Data Privacy Within Organizations

• Individual Privacy: Analytics and meeting data related to individuals are private and cannot be accessed by other members of their organization without their explicit permission.
• Explicit Consent for Sharing: Parafoil only shares individual user analytics with others in the same organization when a user explicitly authorizes such sharing (e.g., in a team report).

Data Privacy Between Organizations

• No Cross-Organization Access: Parafoil guarantees that no organization can access data belonging to another organization. Organizational data is stored separately and securely, ensuring full isolation.
• Data Safeguards: We employ industry-leading safeguards, such as role-based access control and encryption, to prevent unauthorized access to organizational or individual data.

Technical Safeguards for Commercial Privacy

• Data Isolation: Each organization’s data is segmented in our systems to prevent any crossover or access between organizations.
• Secure Storage and Encryption: All data is encrypted both in transit and at rest, ensuring confidentiality and security.
• Audit Trails: We maintain detailed logs to track data access and usage, ensuring transparency and accountability.

5. Cookies and Tracking Technologies

Parafoil uses cookies solely for users who have created accounts to improve functionality and user experience.

• No cookies are used for users without accounts.
• We do not use advertising cookies.

You can manage or disable cookies through your browser settings. However, note that disabling cookies may affect functionality and availability of certain features.

6. Data Retention

We retain personal data as long as necessary to fulfill the purposes outlined in this Privacy Policy, including:

• Audio Recordings: Stored securely for user access and product improvement. Audio and transcripts are only accessible with user permission.
• Compliance: Retained to meet legal and regulatory obligations.

When data is no longer required for these purposes, it is securely deleted or anonymized.

11. In-Meeting Choices

Parafoil provides managers with tools to control data collection during meetings, ensuring flexibility and transparency.

Options for Managers:

• Pause or Stop Parafoil:
  • Managers can pause or stop Parafoil at any time during a meeting through the settings menu.
• Remove Parafoil from a Meeting:
  • Managers can remove Parafoil during a meeting through the settings menu.
• Opt-Out Notifications:
  • Managers receive notifications if data collection is active and, where supported, can opt out. Managers must keep participants informed and ensure consent is obtained as needed.

We aim to provide clear notifications and settings to ensure users can make informed decisions about their data.
